Automation makes a good process faster. It also makes a confusing process fail faster. A little preparation before building saves weeks later.
1. Write the process down
List each step, who does it and which tool is used. If two people do the same job differently, agree on one way first.
2. Clean up the data
Duplicate contacts, inconsistent field names and missing values cause most automation errors. Fix the most important fields before connecting anything.
3. Decide what success means
Hours saved per week, faster response time, fewer errors. Pick one or two numbers and measure them before you start.
4. Check access and permissions
Make sure you have admin access to the tools involved and know who owns each account. Use dedicated accounts or API keys, not personal logins.
5. Plan for exceptions
- What happens when information is missing?
- Who gets notified when something fails?
- Which cases should always go to a human?
With these five points covered, most automation projects become simpler, cheaper and much more reliable.
